B-Health Ventures LLC ("we," "our," or "us") operates the BizScanAI mobile application (the "App"). This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our App.

By using BizScanAI, you agree to the collection and use of information in accordance with this policy.

1. Information We Collect

1.1 Information You Provide

  • Business Card Images: When you scan a business card, we temporarily process the image to extract contact information.

  • Contact Information: We collect names, email addresses, phone numbers, job titles, companies, and other details extracted from scanned business cards.

  • Google Account Information: When you connect your Google account, we access your email address and basic profile information to send emails on your behalf.

  • Email Content: Draft greeting emails generated by our AI and any edits you make before sending.

1.2 Automatically Collected Information

  • Usage Data: Information about how you use the App, including scan frequency and feature usage.

  • Device Information: Device type, operating system version, and unique device identifiers.

  • Location Data: When you scan a business card, we may capture the geographic location where the scan occurred (if you grant location permissions). This location data is saved as metadata with the contact record to help you remember where you met the person.

  • Calendar Information: If you choose to create follow-up reminders, we access your device calendar to create outreach reminder events.

2. How We Use Your Information

We use the collected information to:

  • Extract contact details from scanned business cards using AI-powered optical character recognition (OCR)

  • Generate personalized greeting emails using artificial intelligence

  • Send greeting emails through your connected Gmail account (only after your explicit approval)

  • Save contact information to your device or Google Contacts (with your permission)

  • Improve and optimize the App's functionality and user experience

  • Provide customer support and respond to your inquiries

  • Comply with legal obligations and enforce our terms

2.1 Pro Intelligence Feature

  • For users with Pro or Premium subscriptions, we offer an advanced "Pro Intelligence" feature that provides deeper insights about your contacts. When you use Pro Intelligence:

What We Analyze:

  • - The contact information from the scanned business card

  • - Your business profile and professional background (if provided)

  • - Publicly available information about the contact and their company

  • - Potential connection points between you and the contact

What We Generate:

  • - A relevance analysis paragraph explaining why this contact may be valuable to you

  • - Suggested conversation topics or collaboration opportunities

  • - Context about the contact's professional background and interests

Data Processing:

  • - Contact information and your profile are sent to OpenAI's API for analysis

  • - We may perform web searches to gather publicly available information about contacts

  • - All analysis is performed in real-time and is not permanently stored on our servers

  • - The generated relevance paragraph is saved locally on your device with the contact record

Pro Intelligence requests are limited based on your subscription tier:

  • - Pro Tier: 12 Pro Intelligence analyses per month

  • - Premium Tier: 30 Pro Intelligence analyses per month

  • - 10-Pack Purchase: 10 additional analyses that never expire

3. Third-Party Services

BizScanAI integrates with the following third-party services to provide its functionality:

3.1 OpenAI

  • Purpose: We use OpenAI's API to analyze business card images and extract contact information, as well as to generate personalized greeting email drafts.

  • Data Shared: Business card images and extracted contact information are sent to OpenAI's servers for processing.

  • Data Retention: OpenAI processes your data in accordance with their API Data Usage Policy. As of this policy's effective date, OpenAI does not use data submitted via their API to train their models.

3.2 Google APIs

  • Gmail API: Used to send greeting emails from your Gmail account after you review and approve them. We only access the "send email" permission and cannot read your existing emails.

  • Google People API: Used to save contact information to your Google Contacts (only if you choose this option).

  • Data Shared: Contact information and email content you approve for sending.

  • Google Sheets Integration:

    BizScan AI requests access to your Google Sheets for the following purposes:

    - Saving scanned business card contact information to spreadsheets

    - Organizing and managing your contact database

    - Allowing you to export and backup your scanned contacts

    We only read from and write to Google Sheets that you explicitly create or authorize for use with BizScan AI. We do not access, read, or modify any other spreadsheets in your Google account.

3.3 Use of Google User Data

BizScanAI's use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy (https://developers.google.com/terms/api-services-user-data-policy), including the Limited Use requirements. Specifically:

  • We only use your Google account data to provide the specific functionality you request (sending emails and saving contacts)

  • We do not use Google user data for serving advertisements

  • We do not allow humans to read your Google user data unless we have your explicit permission for specific purposes (e.g., customer support), the data is aggregated and anonymized, or it's necessary for security purposes

  • We do not transfer your Google user data to third parties except as necessary to provide the App's functionality or as required by law

3.4 RevenueCat

  • Purpose: We use RevenueCat to manage in-app subscriptions and purchases for Pro and Premium tier features.

  • Data Shared: RevenueCat collects the following information to process subscriptions:

    • - Anonymous user identifier (generated by RevenueCat)

    • - Subscription tier (Free, Pro, Premium)

    • - Purchase history and transaction data

    • - Device information (OS version, app version)

    • - Subscription renewal status and expiration dates

    • Data Retention: RevenueCat retains subscription data for the duration of your subscription plus applicable legal retention periods for financial records. All payment processing is handled securely by Apple through the App Store, and Apple's privacy policy applies to that information

4. Data Storage and Security

4.1 Where Your Data is Stored

  • Locally on Your Device: Contact information extracted from business cards is stored locally on your device.

  • Google Services: If you choose to sync contacts, they are stored in your Google Contacts account.

  • Temporary Processing: Business card images are temporarily processed through our secure backend server and OpenAI's API, but are not permanently stored.

4.2 Security Measures

We implement industry-standard security measures to protect your information:

  • All data transmission is encrypted using HTTPS/TLS protocols

  • OAuth 2.0 authentication for Google account access

  • Secure API communication with third-party services

  • Business card images are processed and immediately deleted from our servers

  • No permanent storage of sensitive contact information on our servers

Note: While we strive to protect your information, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security.

5. Data Retention and Deletion

  • Business Card Images: Deleted immediately after processing (typically within seconds)

  • Contact Information: Stored locally on your device and in your Google Contacts (if you choose). You can delete contacts at any time through the App or your Google Contacts.

  • Account Data: If you disconnect your Google account, we immediately revoke access and delete any associated authentication tokens.

  • Usage Data: Retained for up to 12 months for app improvement purposes, then automatically deleted.

5.1 Location Data

How Location Data is Used:

When you grant location permissions, we capture the geographic coordinates where each business card was scanned. This location metadata is:

  • - Saved locally with the contact record on your device

  • - Used to help you remember where you met the contact (e.g., "Met at TechCrunch Conference in San Francisco")

  • - Never shared with third parties

  • - Can be viewed, edited, or deleted at any time through the contact details

  • Location Permissions:

  • - You can grant or deny location access when first launching the app

  • - You can change location permissions at any time in your device settings

  • - If you deny location access, the app functions normally but location metadata will not be captured

Location data is stored only on your device and in your Google Contacts (if you choose to sync). We do not transmit location data to our servers or any third-party services.

5.1 Calendar Data

When you choose to create follow-up reminders for contacts, we access your device calendar to create reminder events.

Calendar Access:

  • - You must grant calendar permissions to use the reminder feature

  • - We only create events when you explicitly request a reminder

  • - Calendar events contain the contact's name and a reminder to follow up

  • - You can modify or delete calendar events at any time through your device's calendar app

    Calendar Permissions:

  • - You can grant or deny calendar access when first using the reminder feature

  • - You can change calendar permissions at any time in your device settings

  • - If you deny calendar access, you can still use all other app features normally We do not read, modify, or access any existing calendar events. We only create new reminder events when you request them.

6. Your Privacy Rights

You have the following rights regarding your personal information:

6.1 Access and Portability

  • View all contact information stored in the App

  • Export your contacts in standard formats

6.2 Correction and Deletion

  • Edit or delete any contact information stored in the App

  • Request deletion of your account data by contacting us

  • Disconnect your Google account at any time

6.3 Revoke Permissions

  • Revoke camera access in your device settings

  • Revoke Google account permissions through your Google Account settings or within the App

  • Opt out of certain data collection features

  • Revoke location permissions in your device settings

  • Revoke calendar permissions in your device settings

6.4 California Residents (CCPA)

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA):

  • Right to know what personal information is collected, used, shared, or sold

  • Right to delete personal information (with certain exceptions)

  • Right to opt-out of the sale of personal information (Note: We do not sell your personal information)

  • Right to non-discrimination for exercising your CCPA rights

6.5 European Residents (GDPR)

If you are located in the European Economic Area, you have rights under the General Data Protection Regulation (GDPR):

  • Right to access your personal data

  • Right to rectification of inaccurate data

  • Right to erasure ("right to be forgotten")

  • Right to restrict processing

  • Right to data portability

  • Right to object to processing

  • Right to withdraw consent at any time

7. Children's Privacy

BizScanAI is not intended for use by children under the age of 13 (or the applicable age of consent in your jurisdiction). We do not knowingly collect personal information from children. If we become aware that we have collected personal information from a child without parental consent, we will take steps to delete that information.

8. International Data Transfers

Your information may be transferred to and processed in countries other than your country of residence. These countries may have data protection laws that are different from the laws of your country.

When we transfer your personal information internationally, we take appropriate safeguards to ensure your data is protected in accordance with this Privacy Policy and applicable laws.

9. AI-Generated Content

BizScanAI uses artificial intelligence to:

  • Extract contact information from business card images

  • Generate personalized greeting email drafts

Important: AI-generated content is provided as a suggestion only. You are responsible for reviewing, editing, and approving all content before sending any emails. We are not responsible for the accuracy, appropriateness, or consequences of AI-generated content.

If you encounter inappropriate or concerning AI-generated content, please report it to us immediately.

10. Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, legal requirements, or other factors. When we make changes, we will:

  • Update the "Last Updated" date at the top of this policy

  • Notify you through the App or via email (for material changes)

  • Obtain your consent if required by applicable law

We encourage you to review this Privacy Policy periodically. Your continued use of the App after changes are posted constitutes your acceptance of the updated policy.
